Requests for approval of any form of solicitation must be made in writing (a special form is available) at the Office of Student Affairs not later than the calendar week preceding the calendar week of the proposed date of the activity, and then scheduled with the administrative officer involved. A student organization shall be entitled to use solicitation facilities once in every four weeks on a first-come first-serve basis. In addition, any student organization may request approval for the use of space for one day of any week in which spaces are not already scheduled by Thursday noon of the previous calendar week. Special permission may be granted for facilities for special projects involving longer periods of time, such as week-long money raising or ticket sales campaigns, etc. Events involving admission charges - Recognized student organizations are permitted to arrange entertainment and lecture programs for which general admission is charged, providing the following conditions are met: All plans are approved by the Office of Student Affairs before any financial commitments or contracts are made and not less than one week prior to the proposed event. All financial arrangements must be cleared through the Auditor of Student Organizations Fund in the Business Office. The student organization sponsoring the program must have a balance in its treasury which will cover the cost of the program, including building rental, advertising, and any other expenses, before any contracts or expenditures are made. If an individual, private group, or institution agrees to underwrite the expenses of the program, funds necessary must be deposited in the student organization's treasury with the agreement that nay profit will accrue to the student organization account. The underwriter cannot be repaid until all bills and expenses incurred in the program are paid. It must be agreed that the program will not involve any advertising or publicizing of a commercial product or name. Fund-raising activities - Recognized student organizations must have approval of the Office of Student Affairs before entering into moneymaking enterprizes. A written request signed by the adviser must be submitted not less than one week in advance. Forms for requesting approval are available in the Office of Student Affairs. All financial arrangements are handled through the Auditor of Student Organization Funds, Room 4 University Hall. Student organization trips - Off-campus trips planned by student groups or organizations and taken by public carrier must be approved at least two weeks in advance by the Office of Student Affairs. Arrangements for special flights sponsored by student organizations must be approved before any final plans are made or announced, with travel arrangements handled through an approved travel agent. All persons making reservations on such flights must sign a legal release relieving the University and sponsoring group of responsibility for accident or mishap. Membership policy - It is University policy that local student organizations be able to exercise free choice of members without interference or influence from off-campus, and that the choice will be made on the basis of
